Event Safety

Hidden Beach wants everyone attending our events to have an enjoyable and safe experience.

This Event Safety information applies generally to events organised by The Hidden Beach Organisation CIC. Individual events may have additional rules or safety arrangements depending on the venue, activities and circumstances.

Before You Attend

Please check the latest event information before travelling.

Event times, activities, performers, access arrangements and other details may change, particularly at outdoor events.

Visitors should consider weather conditions and dress appropriately for the event and location.

Follow Safety Instructions

Visitors must follow reasonable instructions given by Hidden Beach staff, event staff, stewards, security personnel, venue staff or emergency services.

Safety instructions may occasionally require us to restrict access to an area, change an activity or ask people to move.

Emergencies

If an emergency occurs:

• remain calm;
• follow instructions from event staff or emergency services;
• do not obstruct emergency routes;
• move to an assembly point if instructed; and
• do not re-enter an evacuated area until told it is safe.

For an immediate life-threatening emergency, call 999.

First Aid

First-aid arrangements will be appropriate to the nature and scale of individual events.

If you or somebody else requires assistance, speak to a member of event staff.

For serious or life-threatening situations, emergency services should be contacted immediately.

Reporting a Safety Concern

If you see something that appears unsafe, please report it to a member of staff as soon as possible.

This could include damaged equipment, trip hazards, unsafe structures, fire hazards, overcrowding, dangerous behaviour, suspicious activity or somebody who appears to require assistance.

Early reporting helps us deal with problems quickly.

Children and Families

Children must be appropriately supervised by a responsible adult unless a particular organised activity expressly provides different supervision arrangements.

Parents and carers remain responsible for children in their care.

Children should not be allowed to enter restricted areas, climb temporary structures or interfere with event equipment.

Lost Children

If you become separated from a child, tell a member of event staff immediately.

If you find a child who appears to be lost, please stay with the child where safe to do so and alert a member of staff.

Lost-child situations will be handled in accordance with our safeguarding arrangements.

Safeguarding

The safety and welfare of children, young people and adults at risk are important to us.

Safeguarding concerns should be reported to a member of Hidden Beach staff or through:

Immediate danger should always be reported to the emergency services.

Accessibility

We aim to make our events reasonably accessible and inclusive.

Accessibility arrangements can vary because our events take place in different venues and outdoor locations.

Outdoor Events and Weather

Some Hidden Beach events take place outdoors.

Visitors should be prepared for changing weather conditions.

Rain or poor weather does not automatically mean an event will be cancelled.

We monitor conditions where appropriate and may modify, temporarily suspend or cancel activities if conditions create an unacceptable safety risk.

In severe weather, follow instructions from event staff.

Temporary Structures

Events may include temporary structures such as marquees, gazebos, stages, market stalls, barriers, lighting, signs and temporary electrical installations.

Do not climb, move, interfere with or attach anything to event structures or equipment unless authorised to do so.

Restricted operational areas must not be entered by members of the public.

Fire Safety

Do not obstruct emergency exits, escape routes, fire equipment, access routes or emergency-service access.

Visitors must follow evacuation instructions immediately if an alarm is raised or evacuation is requested.

Dangerous and Prohibited Items

Do not bring anything to an event that could reasonably endanger other people.

Weapons, illegal substances and other dangerous items are prohibited.

Additional restrictions may apply to particular events or venues.

Where reasonably necessary for safety or security, admission may be refused to someone carrying a prohibited or dangerous item.

Alcohol

Where alcohol is available, it must be consumed responsibly.

We may refuse service or admission, or require somebody to leave, where their intoxication or behaviour presents a safety risk or causes significant disruption.

Alcohol must not be supplied to anyone contrary to licensing law.

Illegal Drugs

Illegal drugs are not permitted at Hidden Beach events.

Where there is an immediate safety concern, seek assistance from event staff or emergency services.

Behaviour

Visitors must behave in a way that does not create an unreasonable risk to themselves or others.

Threatening, violent, abusive or seriously disruptive behaviour will not be tolerated.

Where reasonably necessary for safety, security or the protection of others, a person may be refused admission or required to leave an event.

Dogs and Animals

Dogs are generally welcome at suitable outdoor Hidden Beach events unless the information for a particular event states otherwise.

Dogs must be kept under appropriate control.

Owners are responsible for their dog's behaviour and for cleaning up after them.

A dog may be required to leave if its behaviour creates a safety, welfare or significant nuisance issue.

Different restrictions may apply at indoor venues, food areas, children's activities or particular events.

Appropriate arrangements will be made for assistance dogs.

Food and Allergies

Food and drink may be supplied by independent traders as well as by event operators.

If you have a food allergy or intolerance, speak directly to the relevant food provider before purchasing or consuming food.

Do not rely solely on general event information when making decisions about allergens.

Personal Belongings

Visitors are responsible for taking reasonable care of their own belongings.

Do not leave bags or other possessions where they could create a trip hazard, obstruct an access route or cause a security concern.

Photography and Filming

Photography and filming may take place at Hidden Beach events.

Please speak to a member of staff if you have a concern about photography or filming.

Traders, Performers and Contractors

Traders, performers, contractors and other event participants are responsible for operating safely and complying with the safety requirements applicable to their activities.

They must follow reasonable instructions from Hidden Beach, the venue, event management and relevant authorities.

Changes for Safety Reasons

We may make changes to an event where reasonably necessary to protect people or respond to changing circumstances.

This can include changing layouts, access routes, opening times, activities, capacity, performances, temporary structures or areas available to the public.

Activities may also be suspended or stopped where continuing would create an unacceptable risk.

Refusal of Entry or Removal

Where reasonably necessary for safety, security, licensing, safeguarding or the protection of other visitors, Hidden Beach or an authorised venue/operator may refuse admission or require someone to leave.

This may include circumstances involving dangerous behaviour, serious intoxication, prohibited items, violence, abuse, deliberate interference with safety equipment or refusal to follow reasonable safety instructions.

Your Responsibility

Visitors are expected to take reasonable care of themselves and other people who may be affected by their actions.

Nothing in this Event Safety information removes or limits any health and safety responsibility or legal duty that Hidden Beach cannot lawfully exclude.

Event-Specific Arrangements

Different events have different risks.

Individual event pages, tickets, signage, Event Management Plans or instructions provided at an event may therefore contain additional safety requirements.

Where an event-specific safety instruction applies, visitors should follow that instruction.
